What is your area of expertise when it comes to events?

What are your event planning fees?

We have specific event packages, but because we know that one size does not fit all, we also created bespoke event packages to meet individual budgets and needs.  Our packages can range from a low-level, yet effective engagement campaign from $2,000 to over $25,000 for a complete end-to-end campaign, including event operations.

Why do I need an event planning agency to help me?

Many of our clients come to us because they are ‘lone marketing professionals’. What we mean by this is that they may not have a local marketing and operations team to support them, or have the leverage or negotiation power to get the best rates from venues, AV suppliers and more. Because we manage on a regular bases, we know the best venues and the best value for money that won’t compromise event quality.

Other reasons you may consider an event agency include:

  • You need to keep an eye on more strategic planning, while we look after the day-to-day running of events, from speaker coordination, to room plans to ensuring the best AV system.
  • Easy contingency planning, so there is a plan A, B and even C should your event campaign or the event itself run into difficulty.
  • Additional creative ideas that have been tried and tested, which means less risk for the client.
  • Expert planning tools readily available – such as budget spreadsheets, planning worksheets, speaker briefs, analytics etc..
  • Insights into new event technology, because we have tried and test many new tools, it proves to be less of a risk for our clients.

How do you manage event budgets and timelines?

It depends on how our client wants to work with us, we have our own suite of event and marketing tools for managing budgets and there are methodologies we use to keep costs low and alerts in place if we see barriers ahead.

How many weeks out should we start planning an event?

Ideally we tell our clients to plan at least 12 weeks out from their first event, sometimes more if they have a very low volume of engaged contacts to market to. 

Audience engagement is the biggest hurdle when it comes to event planning, it can sometimes take up to 9 to 10 touches with a prospect before they engage. 

We always keep the audience central to our event planning phase, we imagine them on a journey of discovery from the initial awareness stage right through to consideration and finally ticket purchase.  We have a suite of engagement tools that work for each stage of the buyer journey that can be tweaked based on target audience, for example, C-suite engagement is very different to engaging with a department head.

How can we make our event stand out?

This is a common question, and one that everyone wants an answer to. You don’t need a big budget to stand out, but you do need great, original content. For example, when it comes to exhibiting on a show floor at 3rd party events, some spend a significant portion of their budget on exhibitor stands and little left over to spend on marketing to draw visitors.

We take a very considered approach when it comes to exhibitor marketing and leverage as much of the event organisers marketing channels, we also design stands in a way to attract show floor delegates, and a robust system in place to track visitor engagement.

I can't afford to hire an agency.

If you can’t afford an event agency to run your event then make sure cover all the basics and carefully plan the following areas and the rest should work out:

  • Identify your audience and build out personas, reach out to us for our persona template.
  • Create a content calendar and place each piece in the buyer journey from awareness through to repeat attendance.
  • When creating content always think ‘is this educational’, do not get lost in just selling a product, sell an experience, use client case studies and story telling to generate awareness of your brand
  • Monitor, measure and act. Data driven insights is so important when it comes to event, make sure that you measure engagement, tweak campaigns depending on what the data is telling you.

The most read experience I wrote about in 2022 was based on an encounter I had with a hairdresser who won a trip to the United States because of a technology innovation she was part of. She went, she enjoyed but we somehow lost her from the tech sector. We have to remind ourselves that the ‘churn and burn’ within our sector will impact our goal of reaching 1.2 million tech jobs in 2030. Through the work we do with the TechDiversity Foundation and our network of partners we are putting resources and tools in place for organisations to combat ‘churn and burn’.   Check out their DEI Discovery Course, a first step to workplace wellbeing.

In 2021, we revealed our top four marketing marketing services in high demand, which included:

  • research
  • sales and marketing alignment workshops
  • buyer persona creation and
  • targeted content development

While our clients still tapped into these services during 2022, the majority of projects were centered around face to face engagement -running live events, exhibition booth support, education roadshows and intimate roundtables. We have noticed a massive shift to a more considered, rather than reactive approach to event planning, gone are the days of hosting an event just to spend excess marketing budget.

Microsoft Education Tour

Microsoft have been a client of Best Case Scenario for some time and we were delighted when they approached us to manage a study tour to Seattle. 

The study tour included presentations from the leaders of Microsoft Education as well as product specialists, product labs and members of Microsoft research. In addition, delegates had the opportunity to visit local landmarks and sites of interest.

The entire tour logistics was managed by Best Case Scenario, and a special mention to our Senior Operations Director, Stacey Hutchinson who travelled with the group to Seattle. 

One of the highlights of the tour was a visit to Microsoft’s new Industry Experience Center (IEC), which opened last month in Redmond, Washington.

The 23,000-square-foot center showcases 60 fascinating, real-world examples of customers and partners that are innovating their businesses and disrupting markets with Microsoft technologies.

Data Insights Driving Event Strategy Planning

We helped a prominent Australian technology association with their future event strategy. 

We started the project by using key data insights to understand audience NPS score, priority personas, consumption of marketing material and behavior. 

The initial phase of the project involved mapping out technology events as potential partners as well as a competitor analysis.  We presented the findings to the client, which were then used as a foundation to recommend a future event strategy.

We developed event guidelines and frameworks for our client who have multiple states hosting their own events, their aim was to create a unified and consistent event strategy to benefit their member base.

Are B2B Marketing Functions Entering a Period of Rejuvenation?

I attended my first in-person event recently as a delegate and to say that everyone was hungry to meet and greet is an understatement. It’s great to see that B2B organisations are not wasting time and taking advantage of this hunger, my networking calendar is filling up fast!

Event management is in Best Case Scenario’s DNA, but we know that a shift has taken place in terms of how leading tech marketing professionals are using events and content to engage tech buyers.  

A recent US/Canada study conducted by Emerald called “B2B Events Industry Outlook 2022” shows that there is an expectation for sales pipeline attributed to events – live and digital – will make up for the downturn from previous years. It also found that the future was the quality of contacts and engagement levels beyond actual events.

What Plans do Australian Best-in-Class Marketers Have?

Closer to home, research conducted by Greenhat (supported by the Australian Marketing Institute), which surveyed 500+ Australian organisations, has seen a growth in account based marketing and an expression of hope that the persistent gap between sales and marketing alignment is closing in.

Seriously, hats off to Greenhat’s research findings (no pun intended here), they say the results of this report give every reason to believe that we are entering ‘a period of rejuvenation’. I’m ready for this type of positivity and it’s satisfying to see the statistics that echo the type of projects our team have been working such as:

  • Best-in-class marketers are almost 3X more likely to develop personas and customer journey maps
  • 87% ensure that one third of their content generated is thought leadership
  • 34% implemented account based marketing

As observed in Greenhat’s research, marketing goals are best achieved when there is alignment between sales and marketing, therefore we have shaped our event packages to accelerate pipeline generation and shorten sales cycles for more sustainable ROI.

Another positive change I’ve witnessed first-hand is the increased demand of events from our technology clients targeting Government and Healthcare, both in person and virtual as part of an overall engagement strategy. 

Due to this increase in demand, our team recently reworked our event management packages to make them available as a stand-alone option or as part of an overall customer engagement strategy.

We are so ready for this period of rejuvenation and remain positive when it comes to working with our clients to propel technology adoption within Government, Healthcare and Finance Service sectors.

The year 2019 has been busy for Best Case Scenario handling over 60 events with various tasks and activities from different spectrum of industry.

Our first event of 2018 kicked off in February with a Government event, The Australian Digital Health Agency’s – Global Digital Health Partnership Summit. This was followed by AIIA NSW Government Forum with Minister Kean and a great line up of other speakers including Kate Cooper, Director of Innovation, Westpac Group Strategy + M&A, Westpac, Thea Knill, Director, Innovation NSW, NSW Department of Finance, Services and Innovation and Martin Smyrk, Director, SwiftFare.

We helped host a successful technology lunch and learn session with cybersecurity firm Proofpoint.  The year continued to be varied and interesting with our event team providing support for:

2017 was a very busy year for the Best Case Scenario team.  Here are just a few images of the events we managed, the highlight for us was working on the NSW Government Department of Family & Community Services – Live, Work, Play: NSW the State of Inclusion on 17 & 18 May.  We learned so much and connected with wonderful people.  This event inspired Best Case Scenario to spearhead a campaign to make every event digitally accessible and inclusive.
